TERMS AND CONDITIONS OF MAKING A BOOKING – PLEASE READ

This is a fun & enjoyable gathering but to ensure everyone is happy we have some

ground rules. By making a booking you are agreeing to these rules.

·         All food, drink, and products consumed on site must be vegan. If you need help with this please ask.

·         All occupants must keep the accommodation clean & tidy at all times & when leaving on the last day, must vacate the properties by 10am, remove all rubbish, and leave the properties in a clean, tidy condition.

·           Smoking is strictly not allowed by law in the accommodation, near doorways & we would prefer you do not smoke onsite.

·         Children are the responsibility of their parents or guardians at all times & must be supervised accordingly.  Persons under 18 must be accompanied by an adult.  All adults & children must behave responsibly and respectfully at all times.  Antisocial behaviour will not be tolerated.

·         Anyone behaving in an inappropriate manner will be asked to leave the site immediately without refund.

·         All belongings, vehicles & valuables are your responsibility whilst on site.  We cannot be held responsible for any damage or loss however caused.  We suggest you are insured for your belongings, and take out holiday insurance in case you need to cancel.

·         Only those named on the booking form can attend the event & only the agreed number of people can sleep in rooms.  The maximum number of occupants per house is 10, plus one baby under 2.

Information on accommodation

·         There are two types of bookings available; you can either book a whole house or you can  book rooms in shared houses, and let us allocate other sharers to your house. If you book a whole house, you get exclusive use of that house, and we will not allocate anyone else to that house. A houses have a varying number of bedrooms, and contain mostly single and twin rooms. B houses have 5 bedrooms, and contain mostly double beds. C houses have 4 bedrooms, and contain one double and 3 twin rooms. The standard of décor varies according to the price.

·         Please complete the booking form carefully in block capitals, and fill it in full.  Every year we get illegible or incomplete booking forms, which means we then have to spend a lot of administration time following people up to get the information we need.  Please help us to help you, and take the time to complete it properly.  We do need a completed and signed booking form for every booking, a scrap of paper with a name and phone number won’t be acceptable!

·         DEPOSITS. Please Note: deposits are non refundable as we cannot claim them back from the site. If you cancel your booking before 1st January 2011 in writing we can refund the remaining balance.  Cancellations after 1^st January will only be refunded if we can resell the booking for you.  A deposit of 20% of the total of your booking secures your booking. We reserve the right to decline or cancel any booking at our discretion.

·         FINAL BALANCE & INSTALLMENTS. To make it easier you can pay by installments. Please pay you 20% deposit on making your booking & let us know how you would like to pay in installments. We do need the full balance paid no later than the 1^st Dec 2010. You can also just pay in full or pay your deposit & pay the final balance by 1^st Dec.

·         HOW TO PAY & MAKE A BOOKING. Simply print off the booking form, complete it & send to NEVG, Alternative Stores, Brunswick Industrial Estate, Newcastle Upon Tyne, NE13 7BA. If you wish to pay by cheque please make cheques payable to M A MORLEY. If you wish to pay by paypal please email us. PLEASE ALSO EMAIL mark@vegne.co.uk as you post your form so we can reserve your booking for you. Places are limited & allocated on a first come first served basis.

·         DOGS. Dogs are allowed at our discretion, there is a cleaning charge imposed on us by the site of £10 per booking. Dogs must be kept on leads at all times while on site, and owners must clear up after their dogs at all times. Dogs can only be allowed into shared houses with the agreement of other sharers, and owners must be diligent with regard to not letting them sit on furniture or sleep on beds etc. If you would like to bring your dog(s), please write a brief description of them below, for example, their names, breed, temperament etc.

We do need details of who to contact in an emergency. It is helpful if you can supply email addresses too but it really helps if you can forward out email onto them regarding what to bring, directions etc. Please also let us know if you have any special requirements.
